K-12 Visitors

If a K-12 group requests a visit to UL here are the logistics.

Room Reservation

If you are using a computer classroom, reserve as usual via the EMS. If users will spread out through the library using public computers not in classrooms, then you can skip this step. Note, however, that there are fewer public computers after COVID, so reserving computer classrooms is advised so that there are enough computers for all students.

Notifications

  1. No less than 14 days before the event fill out the IU Programs Involving Children form for the event.
  2. Alert Access Services and the Client Support Team to the event letting them know the date and number of students.

Computer Logins

If the group only wants to be in the building, get a tour, etc and doesn't need to use computers, you don't need to do this step.

It can take up to a week to get logins, so do this step no later than a week before the event if at all possible. Note: Alicia can also request computer logins, but if she is out of the office or unavailable, you'll need to request them.

  1. Go to https://kb.iu.edu/d/atbc
  2. Click "Manage Your Conference Accounts" (you'll be prompted to login)
  3. Click "Set Up Conference Accounts"
  4. Enter the information requested, conference name (e.g., name of group), number of participants, date, etc. Submit request.
  5. When the request has been approved, you'll get an email notification. Note: Logins are made available about a week before the event, so if you requested them well in advance, they won't be there immediately.
  6. A few days before the event, go back to the KB link, and "Manage Your Conference Accounts"
  7. Click "View Conference Requests."
  8. You should see a list which will include the name of the group, Click "Select"
  9. There will be a list of logins on a webpage. Copy/paste the list into a Word Doc, print, and cut them out for users to each get a slip of paper with a login. Tip: Change the font to a serif font like Garamond so the logins are a bit easier to read (i versus l, etc).

IMPORTANT NOTES about logins:

  • Logins can only be used on library computers. They do NOT work on a student's personal laptop.
  • For some unknown reason, sometimes a login won't work. That's OK as logins can be shared/reused. It can be good to tell the teachers and students that if their login doesn't work, just find a classmate whose login does work and reuse it.
  • Students should keep the slip of paper all day in case they get logged out of their computer and need to login again. 

Printing

Printing is not available to guests. Advise users to email themselves the full-text PDFs of articles or upload to Google Drive.

Parking

  • If the group needs bus parking, download and fill out the "Permit and Service Order Form" on the IU Indianapolis Parking website (https://parking.indianapolis.iu.edu/forms/index.html). Request oversize/bus parking and the number of permits needed (you'll want to ask the school how many buses they'll be coming with). Account number is 1298800.
  • Be sure to give Kristi and Becky a heads-up that the request is being submitted. Submit the form to Becky to sign/approve.
  • When you pick up the permits you'll receive a copy of the request, put that in Becky's inbox on her office door.

Printing Posters

To print a poster using the Multimedia Production Center in the Campus Center,

  1. Submit the form on their page - https://studentaffairs.indianapolis.iu.edu/get-involved/student-organizations/mpc-print-form.html
  2. The account number is 1298800.
  3. Be sure to let Becky know you are getting a poster printed so she knows for budget purposes.
